Employees must have an account to log in to the Employee Interview and complete the Medical Health Questionnaire (MHQ). To create an account, the Employee will need an Employer Code. This code is generated and distributed via Employer Communication.
With Employer Communication, you can email links and resources directly to your client’s Employees. To receive these emails, Employees must have valid, unique email addresses in the system. See this article for more on how to add Employees.
NOTE: To send Employer Communications, the Employer must have at least one open Proposal, and the Medical Health Questionnaire must be turned on. See this article for more information.

Sending Employer Communications
In general, you will send Employer Communications during Proposal Configuration. You can also send Employer Communications from the Employer Hub.
Keep in mind, you can only send Employer Communications to Employees and HR Managers that have not completed the Medical Health Questionnaire (MHQ).
Proposal Configuration
If you want to send communications to someone who isn’t listed, say a spouse, add that person to the Additional Individuals section. Also, you can preview the letters with the Employer’s information by adding your email address to this section.
Employer Hub
A similar screen as shown in Proposal Configuration will appear. You will have the same options.
Communication Types
There are six Communication Types:

- Employee
HR | Welcome Letter
The Welcome Letter is for new HR Managers. It includes links to create a new HR Manager account and download the Employee Welcome Letter.
The HR Manager can download the following items:
- The Employee Welcome Letter in English
- The Employee Welcome Letter in Spanish
HR | Welcome Back Letter
The Welcome Back Letter is for HR Managers that already have an HR Manager account. It includes links to log back into their HR Manager account and download the Employee Welcome Letter.
The HR Manager can download the following items:
- The Employee Welcome Back Letter in English
- The Employee Welcome Back Letter in Spanish
- The Employee Welcome Letter in English
- The Employee Welcome Letter in Spanish
Employee | Welcome Letter
The Welcome Letter is for new Employees. It includes the Employer Code and account creation link.
This letter is sent in English. If an Employee needs the Spanish version, they will need to contact their HR Manager.
Employee | Welcome Back Letter
The Welcome Back Letter is for Employees that already have an Employee account. It includes a link to log back into the Employee Interview, as well as the Employer Code in case they need to create an account.
This letter is sent in English or Spanish based on the language preferences of the Employee’s account.
Employee | Application Reminder Letter
The Application Reminder Letter is for Employees that created an Employee account but not completed the Medical Health Questionnaire (MHQ) section of the Employee Interview. It includes a link to log back into the Employee Interview and a friendly reminder to finish the MHQ.
This letter is sent in English or Spanish based on the language preferences of the Employee’s account.
Employee | Account Creation Reminder Letter
The Account Creation Reminder Letter is for Employees that haven’t created an Employee account yet. It includes a friendly reminder with the Employer Code and an account creation link.
This letter is sent in English or Spanish based on the language preferences of the Employee’s account.
